How we collect it
Most of the information we hold comes directly from you: when you email or phone us, send a message through this website, ask for a quote, place an order or meet us at a trade event.
We may also receive your business contact details from the manufacturers we work with when they pass on your enquiry, or from publicly available business sources.
How we use it and our legal basis
UK data protection law requires us to have a lawful basis for each way we use your information. We use it:
To reply to your enquiries and prepare quotes. Basis: our legitimate interest in responding to business enquiries, or taking steps at your request before entering into a contract.
To process and deliver orders, provide technical support and handle warranty claims. Basis: performance of our contract with you.
To keep accounting and tax records. Basis: legal obligation.
To send news, product updates and event invitations. Basis: your consent or, for existing customers, our legitimate interest in telling you about similar products. You can unsubscribe at any time.
To keep our website and systems secure and to prevent fraud. Basis: our legitimate interests.
To meet legal and regulatory requirements and to establish, exercise or defend legal claims. Basis: legal obligation and our legitimate interests.
We do not make decisions about you based solely on automated processing.
Who we share it with
We do not sell your information. We share it only where needed, with:
Service providers who support our business, such as IT, email, website hosting, accounting and customer management providers.
Couriers and freight forwarders who deliver your orders.
The manufacturers whose products we supply, where needed to handle technical support or warranty claims, or to pass your enquiry to an approved installer or dealer.
Professional advisers, such as accountants, lawyers and insurers.
The police, HMRC, courts or regulators, where the law requires it.
Our service providers act on our instructions and must keep your information secure.
International transfers
Some of our service providers, and some of the manufacturers we work with, are based outside the UK. When your information is transferred outside the UK we make sure it is protected, for example by relying on UK adequacy regulations or by using the International Data Transfer Agreement or Addendum approved by the ICO. Contact us if you would like more details.
How long we keep it
Enquiries that do not lead to an order: up to 2 years after our last contact with you.
Customer, order and accounting records: 6 years after the end of the financial year they relate to, as required by tax law.
Marketing preferences: until you unsubscribe. We keep a record of opt-outs so that we do not contact you again.
Website and security logs: normally no longer than 90 days.
We review our records every year and securely delete information we no longer need.
How we keep it secure
Access to your information is limited to staff who need it for their work. Our devices and accounts are password protected, and this website uses encryption (HTTPS) and security monitoring.
If a data breach is likely to put your rights at risk, we will tell you and the ICO as the law requires.
Cookies
This website does not use advertising or analytics cookies, and it does not track visitors. The only cookies are those WordPress needs when our staff log in to manage the site. Fonts and other files are served from our own server, so visiting the website does not share your information with third parties.
If we start using other cookies, we will update this policy and ask for your consent where the law requires it.
